Joint Meeting – June 2014 (held on June 7)

The following topics were discussed, decisions were taken.

  1. Minutes of May 2014 Board meeting were approved unanimously.
  2. Update on the latest status of construction works: Br. Moin Asjad described the progress and the latest development. He indicated that we can hope for performing our forthcoming Eid prayer subject to available of City permit. Board plan to conduct an open house 1 week before Ramadan Fundraising event subject to another update by Br. Moin Asjad
  3. Financial updates including Karze Hasana:
    Shafiq Islam updated on latest collection and bank deposit, Br. Moudud Rahman updated the latest bank balance and expenditure, Br. Moin Asjad and Br. Muhammad Azim,updated the latest amount of karze Hasana and all the members were satisfied with the latest Financial health of the board fund so far.
    Update on the latest status Pledge reminder: Br. Hasheem Molla told that he already has sent reminder note to all the donors for their balance amount of pledge. Board requested him to send another note before Ramadan fundraising event. He can take help of Br. Azim if needed.
  4. Update on preparation of Ramadan Fund raising event and Discussion about the Eid
    (EID- UL-FITR) prayer venue: Br. Ferdous Ghazi informed that he already booked Balcan center for the Fundrasing event
    (7/12/14) and Eid pray (7/28/14). But it can be cancelled if our Mosque is ready for performing Eid pray.
  5. Discussion about the preparation for Ramadan:
    a) Food & Beverage management for all the events round the year including
    Ramadan Activity (Weekend iftar):
    A subcommittee lead by Br.Ferdous Ghazi with Br. Ahmed Jami khan, Ifthikhar A Chisti, Javid Khatri, Kamrul hasan Jweel, Mahmudul Khan (Apel), Abu Ashraf, and Hasheem Molla will take care of these for all the events round the year. Following were approved by the board:
    -Iftar party will be 3 days/week (Friday, Saturday, and Sunday)
    – Sponsor amount: $300.00/sponsor (Minimum), 5 sponsors/event (minimum), and 10 sponsors on Fundraising day
    -Br. Ifthikhar Chisti will print the sign-in sheet before this Friday (June 6th) so Imam can announce in the Jummah- Br. Muhammad Azim and Iftikhar Chisti will make it implemented.
    b) Ramadan Activity (Taraweeh):
    A subcommittee lead by Br. Muhammad Azim with Moin Asjad, Hafizur Rahman, Mahiuddin will be responsible for Hafeez selection, cleaning,andclosing after Taraweeh.
    c) Ramadan Family Fair :
    Sr. Rubab Hoq will lead a team of Sr. Marina Azim and Sr. Massarrat Khatri (also can add more volunteers if needed)
    d) Ramadan Activity (Printing timetable):
    Br Moin Asjad showed a sample copy from the previous year. Board approved it and requested Br Moin to print it before Ramadan. Br. Moin Asjad and Javid Khatri will make it happen.
    e) Eid Prayer :
    Br. Ekram Khan was volunntered to take a lead for overall management of these (Eid-ul-Fitr & Eid-ul- Adha) great events. He can add more volunteers if needed
  6. Procurement of all kind of supplies:
    Br. Ifthikhar Chisti will get it done with the help of Br. Ferdous Ghazi and Ahmed Jami
  7. Discussion about the planning & preparation for moving to new Mosque:
    – Deferred to next board meeting when the new mosque will be ready to move in
  8. Distribution of responsibilities of AMDA activities among the Board members:
    – Distribution of overall responsibilities will be updated after new members get in the board. Until then all the members are requested to follow existing one (attached on 5/4/14 ) and the responsibility described in this minutes.
  9. Issuing Marriage Certificate per request of our Imam Sheikh Munawar Haq :
    Br. Muhammad Azim described in detail about the historical background of this issue, pros & cons of the AMDA. After discussing all about it all the members approved it for the sake of community service to be provided by the AMDA. A sample copy (latest version-3) was showed by Br. Moin Asjad and board approved it. Br. Moin Asjad and Muhammad Azim will discuss this with our Sheikh Munawar Haque to find out final policy & guideline so that it would not be in violation of Islamic Sunnah & sentiment.
  10. Discussion about the request of outside charity for fundraising in AMDA:
    Board members are in opinion that AMDA is not ready to encourage any out of state charity organization for the time being. However, AMDA will allow total 4 in-state organizations (first come first serve) after AMDA fundraising event. In this meeting following 2 in-state organizations are approved by the board:
    1. Darul Ulom Madrasa – July 13
    2. DEF (Diversified Educational Foundation) – July 19
  11. Mosque Cleaning:
    It was decided that the June 24th (Tuesday) will be the cleaning day for upcoming Ramadan. All the members are requested to perform this job from 7:00pm to 9:00pm. Br. Muhammad Azim will lead this event. Sr. Marina Azim and Sr. Massarrat Khatri will be requested to lead the volunteers for the ladies side.
