The following topics were discussed, decisions were taken.
- October Collection Update – Br. Javid Khatri – Provided collection update for month of October
- Expenditure for October – Br. Moudud Rahman – Provided details on checks written for month of October
- Lessons Learned from Eid-ul-Adha Jamah & Dinner Event: – All
Entire program as a whole was well done, there are some area we need to focus on, so in next events we can check the lesson learned list and work accordingly so the upcoming programs are event more well managed. All lessons learned will be documented on server for easy access and reference. - Request of help from one brother for Zakah: Did not get the filled in form to consider for Zakah.
- Fundraising Events at other Masjids:
* Br. Moudud to create list of masjid where we can do the fundraisers.
* Br. Ahmed J. Khan is planning on doing one fundraiser in a different setting, he will provide more detail in next meeting.
* AMDA should send email/letter to other masjid for fundraising prior to approaching them personally
* Presentation file should be created which can be used for fundrasing event
* Website should be used for fundraising - Event Dates for 2013:
* First Fundraising at AMDA February 9 (Saturday)
* Second Fundraising at AMDA July 27 (Ramadan 18) – Saturday
* Eid-ul-Fitr August 8 (Tentative) – Thursday
* Eid-ul-Adha October 15 (Tentative) – Tuesday - Zakah Application Form: Application form is approved. Form will be uploaded on the website
- Approval of Meeting Notes from last two meetings – Approved without modification
- Jummah from November 9 to March 8 (non Daylight Savings Time) – One Jamah at 1:30pm. Second Jamah will continue again from March 15, 2013
- Haujjaj Reception – December 7, 2012. During Friday Family Event
- Imam Search Committee Update
* Contract for short time is approved.
* Imam career path discussion should happen at early stage of hiring process with clear exit strategy. Maximum duration prior to exit was not decided, suggested to be somewhere between 3 to 5 years. Congregation members should be introduced of the carrer path for Imam prior to hiring.
* Khatirah (Short Discussion) Events & Speakers – Br. Azim is scheduling this event
* Interfaith and Dawah activities – Nominee will be invited for a speaking session during December Friday Family Event - Chairperson from January 2013 – From January 2013 a new list will be created, chair person responsibility will be assigned according to the last name (sorted in ascending order a-z). Trustees and Representatives will rotate alternatively. SC Members will be attached to each chairperson for training purpose. Traditionally chairperson responsibility is taken after 2 years of service to the community. If these 2 year is taken in consideration, opportunity will be lost to train future leaders from SC Members. Based on this reasoning, members decided to attach SC Members to Chairperson. This assignment will also be by last name (sorted in ascending order a-z). To start the rotation, Trustee members will start then Representatives who are at the end of their term will take responsibility. New members to the BOT and BOR will be sorted each year and then put on at end of the existing list. Br. Moin Asjad volunteered to be at the end of the list. List will me maintained in server for easy access and reference.
- Thank you note to Br. Mujib for his service to the community – AMDA will send a thankyou note to Br. Mujib for his dedicated community service.
- Walk-in – AMDA will donate to Islamic Relief for Sandy Relief effort. Money to be disbursed from Zakah fund as soon as possible.
